Professional Use Agreement
These Professional Terms of Service ("Professional Terms") govern the use of FileSeal by qualified professionals including solicitors, accountants, financial advisors, mortgage brokers, recruitment agencies, and other regulated practitioners.
By accepting these Professional Terms, you confirm that you are a qualified professional and will use FileSeal for legitimate business purposes in compliance with your professional body's regulations.
Professional Responsibility
These terms supplement your Platform Terms and establish professional standards, compliance requirements, and fair use policies specific to professional practice.
Professional Status and Verification
Professional Qualification
By accepting these terms, you represent that you:
- Are a qualified professional in a regulated industry
- Hold appropriate professional qualifications and memberships
- Are authorized to practice in your jurisdiction
- Will use FileSeal only for legitimate professional purposes
Professional Bodies
FileSeal is designed for professionals regulated by bodies including:
- Legal: Solicitors Regulation Authority (SRA), Bar Standards Board
- Financial: Financial Conduct Authority (FCA), Mortgage & Finance Association
- Accounting: ICAEW, ACCA, CIMA, AAT
- Other: Recruitment & Employment Confederation, professional consultants
Verification Requirements
We may request verification of your professional status, qualifications, or regulatory memberships. You agree to provide such verification when requested and notify us of any changes to your professional status.
Professional and Regulatory Compliance
Professional Body Compliance
You remain solely responsible for ensuring your use of FileSeal complies with:
- Professional codes of conduct and ethical standards
- Technology and security guidelines issued by your professional body
- Client confidentiality and data protection requirements
- Record keeping and audit trail obligations
- Money laundering and know-your-customer regulations
- Consumer credit and financial services regulations
Client Consent and Authority
- You must obtain appropriate client consent before using FileSeal
- You must have legal authority to request and receive client documents
- You must inform clients about the secure nature of FileSeal document requests
- You remain responsible for client relationship management and communication
Regulatory Changes
You are responsible for staying informed about regulatory changes that may affect your use of FileSeal. We will make reasonable efforts to notify users of platform changes that may impact compliance.
Fair Use Policy
Professional Plan Usage
Our Professional plan includes unlimited secure document requests for normal professional use. This policy ensures fair access to platform resources while maintaining service quality.
Normal Professional Use: Up to 1,000 seals per month is considered typical and will never be restricted.
Fair Use Guidelines
- Typical Use: 10-100 seals per month for most practices
- High Use: 100-1,000 seals per month (fully supported)
- Very High Use: 1,000-2,000 seals per month (monitored, not restricted)
- Excessive Use: Consistently over 2,000 seals per month may require Enterprise plan
Acceptable Professional Use
- Collecting client documents for legitimate professional services
- Due diligence and compliance documentation
- Know-your-customer and anti-money laundering procedures
- Mortgage applications and financial advice documentation
- Right-to-work verification and recruitment processes
- Professional service delivery within your qualified areas
Usage Monitoring
We monitor usage patterns to ensure platform stability. Users consistently exceeding 2,000 seals per month will be contacted to discuss Enterprise options with 30 days' notice.
Professional Security Obligations
Your Security Responsibilities
- Use secure devices and networks when accessing FileSeal
- Implement appropriate cybersecurity measures in your practice
- Maintain confidentiality of FileSeal access credentials
- Report security incidents or suspected breaches immediately
- Comply with your professional body's technology security guidelines
- Maintain appropriate professional indemnity insurance
Client Data Protection
- Ensure you have lawful basis for processing client data
- Maintain appropriate data subject consent and notice
- Implement data retention policies compliant with your professional requirements
- Respond to data subject rights requests in accordance with GDPR
Incident Response
In the event of a security incident, you must notify us immediately and cooperate with our incident response procedures. You remain responsible for client notification and regulatory reporting as required by your professional obligations.
Professional Liability and Insurance
Professional Responsibility: You remain professionally liable for your practice and client relationships.
Professional Indemnity Insurance
We strongly recommend that all professional users maintain appropriate professional indemnity insurance that covers:
- Use of technology services in professional practice

Your use of FileSeal must comply with professional standards including:

FileSeal provides a technology platform only. We are not responsible for:
- Professional advice or services you provide to clients

- Client relationship management or communications

- Professional indemnity claims or regulatory sanctions
Professional Plan Terms
Professional Subscription
Professional plan includes:
- Unlimited document requests (subject to fair use)
- Professional dashboard and request management
- Comprehensive audit trails for compliance
- Priority support for professional users
- White-label client experience
Billing and Payment
- Professional plans are billed monthly or annually in advance
- Payment failures may result in service interruption affecting your practice
- Subscription changes take effect at the next billing cycle
- You are responsible for all taxes related to your subscription
Business Continuity
We recommend maintaining backup procedures for critical business processes, as service interruptions could affect your professional practice operations.
Termination and Professional Impact
Professional Standards Violations
We may terminate professional accounts for:
- Use inconsistent with professional standards
- Violations of professional body regulations
- Activities that could harm FileSeal's reputation with professional communities
- Failure to maintain professional qualifications or standing
Impact on Professional Practice
You acknowledge that termination of your FileSeal account may impact your professional practice operations. You should maintain alternative procedures for critical business processes.
Data Export and Compliance Records
Upon termination, you remain responsible for maintaining compliance records as required by your professional body. We will provide reasonable assistance with data export within our standard retention periods.
